=1= XML Paper Specification (XPS) – XPS option is used to preserve document formatting and enable file sharing. XPS embeds all fonts in the file so they appear as intended, regardless of whether the specified font is available on the recipient's computer, and has more precise image and color rendering on the recipient's computer than PDF. When the XPS file is viewed online or printed, it retains exactly the format that you intended, and the data in the file cannot be easily changed.

= By the way, the best choice you would ever make depends on how you understand MS office applications and what are the new features you can get if you apply the latest versions of MS Office program.

 

=2= When you open Microsoft Excel file you plan to convert, try to open it (and it is better to be previously saved as XLS document or .XLSx document, which is enhanced .XLS document), then you have three choices:

1)                 You can select from main menu "File"->"Print", then select Printer "Virtual PDF Printer" so as if you need to adjust PDF generation options, click the "Property" button on the right. After Clicking "OK", a dialog will pop up, assign the folder and file name of the PDF document to be generated.

2)                 Or you can select from main menu "File"-> "Save as", then you select the "PDF (*.pdf)" option as type of file saving on your computer, and the process of file conversion to PDF will be immediate and accurate. This process is my1st choice to edit my Word, Excel, and PowerPoint files in this way to PDF form.

3)                 Or you will click the File tab, and choose Save As. In the File Name box, enter a name for the file, if you haven't already. And in the Save as type list, click XPS Document (*.xps) to get the following possibilities:

a.                  If you want the file to open in the selected format after saving, select the Open file after publishing check box.

b.                  If the document requires high print quality, click Standard (publishing online and printing).

c.                  If file size is more important than print quality, click Minimum size (publishing online).

By clicking Options to set the page to be printed, you can choose whether markup should be printed, and to select output options. Click OK when finished, and click Save.

 

=3= Several programs you can freely download on you PC or laptop to edit your MS Spreadsheet into PDF format like:

a-                 Acrobat Reader:the first thing you have to do is to install Adobe Acrobat, which includes the option to install the acrobat PDF printer.Then you do the following:

i-                   Make a copy of the excel file first. Once the printer is changed to the Adobe PDF Printer, the formatting of the document may change.

ii-                Click on the Start bottom. Go to the Settings, Printers. Right click on the Adobe PDF printer. Select "Set As Default Printer "from the menu.

iii-              Right Click the "General" tab under the Adobe PDF Printer settings. Expand PostScript Options by clicking the plus sign. Choose the "True Type Font Download" and select "Native True Type"from the selection menu.

iv-              Open the Excel file. By clicking on "Tools" and "Options", and on the print tab, clear the setting from reverse print order. Customize any other printing options as necessary.

v-                 Select "File" and "Page Setup" and choose1200 DPI on the tab marked "Page". Save the setting and exit.

vi-              Choose "File" and "Print'. Select "Preview" to see what the converted spreadsheet will look like. Go back to Excel to make changes if necessary. Click "Print" if the document looks acceptable, and select the worksheets to be converted and file name. Finally, the file will be saved as a PDF document in the same folder as the spreadsheet.

 

b-                 Acrobat Reader with Third Party Software: When you open your Internet browser, type "Excel PDF Converter" into the search engine. Check the results to find a program that works with your version of Excel. If possible, find a version with good user reviews that looks like a reliable source to avoid downloading malware or viruses.

you con convert to PDF by usin PDF Creator : first you slection the space whitch you want to convert, and then presse print order after you can chose PDF thats all

click on file/ save and send / pdf.
if you have a mac you can print it as pdf automatically if you use windows and an old version of excel then you can just use pdf creator

Just install Adope Acrobat. and Right click your mouse there is shown many option include convert to pdf. convert your file. save in pdf.

You can either install Adobe Acrobat Pro (but that's a paid software) or CutePDF writer(open source). Now print your spreadsheet to PDF frmat. Done !!
