Facility management is the care of building and things provided in for the sake of people living in the building,,, so you must take care of all those which needs for living in ,,,and present your self in a Direct , honest, considerate and thought full manners , demonstrate your technical and Business skills, so you will be on top of every thing ,,
As a facility Manager, one should carefully look at the following issues/operation:
1. Health: Please arrange good health and sanitation facilities such as supply good quality of drinking water and good sanitation facilities.
2. Safety: Ensure fire exit door, central fire alarm, smoke detector, water sprinkler in all rooms and open areas
3. Security: Access Control Procedure through security guards, baggage scanner, hand held scanner, broom bar, electrically operated main gate closing/opening, barbed wire fencing over boundary wall
4. Maintenance: Arrange checking of sanitary facilities proactively on weekly basis, Generator operation and maintenance schedule, elevator operation and maintenance schedule.
5. Cleaning of premises: Ensure regular, weekly and monthly schedule of cleaning different areas
6. Operation: Manage transport, travel, mailroom, canteen, Reception services. Manage all service contracts
7. Procurement: Procure essential stationery and cleaning material as necessary. Develop TOR for contracting of cleaners, Security Guards, Plumber, Electrician, Messengers and sent to procurement department for tendering
8. Property Management: Negotiate lease for office, warehouse; search for new office premises as necessary, pay the office rental in timely manner
9. Space allocation: Arrange for partitioning of space for new comers, allocate spec to each staff as per company rules, interior decoration of office area including reception area
10. Business Continuity Plan: This is most important job and requires a multi-disciplinary approach, most importantly in cooperation with IT department. The basic purpose is that in the event earthquake or flood or fire, if your main office is not accessible, you should have another space ready from where you can still operate at minimum level. Normally, the emergency office should have few rooms, equipped with all sort of communication facilities, IT server and facilities and a conference room so that the important business operation can be still carried out from here with support from few selected office staff and Top management
