For me I will use automatic replies. be opening ms outlook application, click file, from there you can see automatic replies option. And then you are going to write your messages.

Just downloaded “While You Were Out” template for Word document, from the link blow:http://office.microsoft.com/en-us/templates/while-you-were-out-template-for-outlook-TC.aspx?AxInstalled=1&c=0
Then load it into Outlook by following steps:
1. Create a new message, copy and pasted Word document into it2. File – Save as – dropdown list of Save as type, choice Outlook Template Note: If the format is not correct, please adjust it first and then save it again.3. Just double-click the template if you want to use it.

It depends on the type of your phone, but most of the devices only require to adjust the account setting & add your Outlook email with the type of it (imap or pop)
