Every organisation has its set target that demands well planned procedures and this can be done by keeping a track of latest technical developments. It requires active participation of employer and employees on a regular basis for working effectively on the set targets. This entire procedure calls for identifying the problems or loop holes and finding ways to mend them for increasing overall business productivity.

1. Developing Trust Among Employees:

Every employee holds specialised value in an organisation, which should be clearly understood by the employer. The main task of the company’s owner is to set target goals for their employees and they should leave it to the employees to complete them. In this regard, the employees should have the liberty of taking productive measures into consideration as per their efficiency and strategise the task in a given manner. Indeed, the employees should never be made puppets, who work on what the boss says. Rather, the company owner should trust his or her employees to perform a specific task as per their own methodologies. This will enable an employee to feel a genuine part of the company and not a mere working model.

2. Set Realistic Targets:

No organisation can work without having set goals or objectives and chalked out methodologies to perform. This does not mean that the employers should set goals that might not be possible for the employees to achieve on time. Indeed, it is necessary that the employers should set realistic targets as per employee’s capability. This will help the employees to complete their work well on time and exhibit greater productivity. Certainly, it is necessary for the employers to be exceptionally clear about the targets that have been set. In this regard, they can also offer needed guidelines to make things more understandable.

3. Follow Up the Set Targets:

Generally, some employers think that their task gets over after setting the goals for employees to perform. This approach may lead to communicative issues. So, it is necessary for the employers to follow up on the task segregated to the employees. In this manner, the employers will come to know the loop holes existing in the working procedure and tools required to improvise on efficiency. By keeping a track of the work given to employees, the company owner will get to know an employee’s performance and measures to be taken on witnessing poor efficiency. Proper follow up will enable the company to increase the individual productivity.

4. Respecting Employees and Acknowledging their Performance:

Employees are said to be the pillars of an organisation that holds the weight of entire business. This calls for employers to respect them completely. By this, it means that no employee should be scolded or degraded in front of the entire office. If there are any issues with the employee; he or she should be called separately in the cabin to discuss issues. In this also, the employer should not use harsh tone as this may bring an amount of disconnection. It is also necessary for the employers to give constant feedback of the employee’s work performance. This will enable them to have clear idea about the direction they are moving in. Apart from this, employees should be well acknowledged for their excellent performances. Here, the employers should praise their efforts in front of everyone and even give reward. This enables an employee to feel elated and being respected.

5. Organising Training Sessions from Time to Time:

The learning procedure for an individual never ends, which mandates for the constant learning programs to be developed. Likewise, every employer should keep a track of the latest technical developments in their business favor and organise training sessions in connection with that. It is essential to hire professional and well qualified trainer, who can guide on various prospects associated with newer technologies. This will enable the employees to stay abreast of the efficient workflow procedures and adopt them on requirement. Also, it is essential for the employers to assist employees in gaining knowledge regarding their profession for improvising on efficiency.

6. Maintain connectivity with the Employees:

This does not mean that the employer should keep poking in the working proficiency of an employee. Rather, they should keep asking about their problems in work or anything that is required by them to improvise on quality. In this manner, employers will get to know what an employee wants from the organisation and are they being given the things as per their requirements. This will ensure the employees that their boss is concerned about them and takes initiative towards understanding their issues.

7. Latest Devices should be there in Office:

It is well known that technology is advancing at a large scale and devices have been developed to carry out tasks at a faster speed. This necessitates for the employer to get newer laptops, tablets, smart phones or likewise products in the office. Such products will ensure better productivity as the procedures will be completed in much less time. As all know that slow systems will have adverse effect on the productivity and employees might not be able to achieve their set targets. It is because of this that technically advanced devices are always helpful.

8. Enhancing Communication Between Employer and Employees:

Effective communication is the most important aspect of any business organisation. It enables the company to plan out strategies and put them to practice for better results. In this regard, it is essential for the employers to maintain face-to-face communication procedure; rather than undergoing the whole hierarchy to reach them. This will enable the employees to feel elated that they can share their issues directly with the boss and not running around in office to reporting managers.

9. Lay More Emphasis on Physical Performance:

The current scenario of every business is that employers or senior managers are always emphasising on indulging in meeting to discuss matters. Though, meeting is an essential part of maintaining the workflow; but, it should not be kept as the sole way of understanding business necessities. Rather, the senior managers or personnel should keep their words short and to the point. Indeed, it is essential to give more time to the employees to work physically and not keep discussing the working polices beyond necessity. Giving more time to employees to work on their systems will definitely lead to timely completion of tasks.

10. Offer Flexible Working Options and Hours:

Work is worship for everyone and the worship time should never be restricted. By this, it means that employers should allow flexible working options or even hours. This will ensure that employees are not feeling overstressed and would be able to perform efficiently from anywhere they wish as long as the work gets completed on time. Indeed, the 9 to 5 job culture of 20th century is receiving a setback because of the fact that it used to have restrictive time laying more pressure on the employees to complete task within given time slot. With internet connectivity and mobile computers available in the market, it is possible for the employees to work from anywhere and deliver their best shots.

To improve the productivity of the employees the organizations should motivate the people working in that organization. A little praise from the employer to the employee boosts their motivation to work harder than before. It's the small things that cause a big effect.

  1. Employee skills and knowledge must be continually updated to maintain productivity — global competition has created a rapid pace of change which means that current skill sets must be continually updated. It is the manager’s job to identify employees with less than optimal skills. HR’s role is to develop processes to continually increase employee learning, knowledge, and skill development, while minimizing the amount of time that employees are away from their work.
  2. Effective communications and feedback reduce errors and frustration— a lack of communications can frustrate employees and make them feel unimportant. Failing to provide effective feedback can lead to wasted efforts, increased error rates, and lower productivity. Communications and feedback mechanisms need to be developed in conjunction with employees to ensure that they fit both the needs of the manager and the employees.
  3. Providing the right information improves decision-making — managers and employees need access to all relevant information and data in order to be productive and to make effective decisions.

1.Accountability

Every employee needs to be well aware that he is accountable for his actions and decisions, and he can neither pass the buck or pass the blame to someone else.

  • This will help him work more meticulously ,
  • Take cautious rather than reckless decisions, and not take advantage of his place, position or relationship with his superiors.

2. Follow up

Employers often set targets and feel their job is done.

  • No, every target or milestone set needs to be followed up as well, to see if the progress is sufficient and if not, whether any interim measures can be taken before it is too late to salvage a situation.
  • It also keeps the employee on track,  ensuring there is consistent effort throughout the lifetime of the project

 3. Manage the work force but avoid micromanagement

It is well known that a large pool of employees does need to be managed, provided direction and given assistance. But with this they must also be trusted, given freedom to operate in their style and adopt measures which they think are the best to deliver results.

  • This freedom to act as they deem fit helps to keep them encouraged, motivated and happy in the belief that they are trusted.
  • Micro management is a human tendency but one that is detrimental to achievement, since it makes mere puppets out of employees, who are expected to toe the boss’ line and not think for themselves.
  • Employees need to think for themselves, analyze the consequences of every decision or action to be able to give their best to their jobs. And the employers must make it possible for their workers to do so.

4. Encourage, motivate, reward and recognize

The employer must ensure that on his part he always has words of encouragement for his staff. Encouraging them helps them move forward and do even better, and makes the worker feel happy. Innovative ways of motivating them spurs them even more. For example, holidays or conferences paid for by the company have been found to motivate employees immensely.

  • Rewarding the hard work put in by employees makes them continue to work in the same fashion, and if the employee feels that his work is not appreciated in words or in material terms, he may gradually stop doing so, since he may feel that others working less are given the same too, so he need not work more.
  • Rewards, and other ways of keeping employees happy makes them feel that their effort is being recognized and that they are needed by the company.
  • Without these, they may soon start looking for greener pastures and new jobs.

 5. Reach out to employees by seeking them out

Every employee loves to feel he has the ears of the management who will recognize him and listen to what he says. Display of inter personal skills in which the boss appears humane and one of them, rather than a larger than life, distant figure, helps to have employees warm up to him and feel happy working for him.

  • A bit of effort to reach out helps them all do better.
  • If this extends beyond the work place it may prove to be even more encouraging to increase employee productivity.
  • 6. Demand realistic targets

Employers need to set realistic goals that are within the limits of achievement. While an aggressive employer may want his people to outstretch themselves to achieve farfetched goals, it may also burn them out.

7. Team work

Team work always helps in increasing workplace productivity since there is more input in the form of more ideas and minds at work. Working alone is not always the happiest situation either, especially in the field. Successful team building and working together is bound to bring out the best out of the employees who may also then compete with each other ensuring the business is the winner.

8. Ensure that people enjoy their work

The best performing employee is the happy employee, and the employer has to find ways of making his people happy. Besides working conditions and the work culture implemented, he has to devise ways of making the work seem challenging and interesting rather than mundane and boring.

9. Break the monotony and rotate

While employers assign tasks according to an employee’s core competence, even the task they are best at, can make an employee bored and his work seem monotonous.

  • This monotony can be broken with rotation and giving people new tasks and exposure to other divisions.
  • This adds their learning and helps them get a holistic view of the business.

10. Courses and improvement options

Employees are delighted when they can enhance their skills and get additional learning opportunities sponsored by the employer. This helps them learn, feel indebted for the money being spent on them, which also adds to their resume, and are obliged to perform better by applying all the knowledge gained in these courses.

 11. Spend less time on meetings and more on action

The current trend to have more meetings and discussion rather than spending more time working to achieve results, leads to precious productive time loss.

  • Meetings for reviews and sharing of ideas can be limited and kept short.
  • Employees should have more time to show results.

12. Tools and equipment to raise productivity

Finally, the workplace must have the best machinery, devices and equipment that yield error free results in the minimum possible time. Efficient electronic equipment with no connectivity issues and breakdowns will help to save precious time. They should take the place of paper work, and yield fast results. Some of these include:

  • Smart phones
  • Laptops
  • Tablet computers
  • Latest applications and software that offers quick connectivity and access
  • Digital recorders-these help to record thoughts and new ideas when they strike, when no paper is available and the fear is of forgetting the idea
  • Bluetooth to stay connected
  • Personal digital assistants or PDA’s
  • GPS to stay on track on the road
