Communicate just one message at a time.  Don’t confuse the receiver with multiple messages and make them sort through them.                                                                                               Express your message in clear language.  Don’t try to “sugar coat” tough messages.  Don’t try to embellish the message.

Use appropriate media.  Detailed messages need to be written.  Oral messages should contain minimal content.  Both formats may be useful as reinforcements.

Give an example to support your message.  People learn from examples as much as they do words because examples create visual images.

When you are briefing your staff in relation to an action requirement, there are 2 things I do to ensure that the message has been understood and has a chance of success.

The first is to make sure that they write it down and the second, is at the end of the brief, have them explain back to you what is required.

If you follow this approach for all critical requirements, the chance of success is much higher.

Thanks for the invitation.

To ensure that the message is understood clearly, sender should make sure that information conveyed is clear & complete and should provide the information in the right format, with the right impact using appropriate pitch & tone of the voice while speaking.

If it is in person communication apart from the above using correct body language is also of great importance for effective communication.

I would proactively ask for feedback about a subject that I convet a message upon. To ensure that my message was understood effectively, I would ask probing questions to the audience ti gauge their views/comments on the topic, bring up thought-provoking questions to help them bring their views above the surface and make sure that they can use the message, not just passively understood it.

How well and organized your message is  in terms of simplicity   is important for effective communication. Jaggon, heavy vocubulary will distort the intention of the message.Keep it Stupid Simple (KISS).Example if it is an Internal memo ,  encourage team members to provide feedback or share their views where necessary.

For individual team members , a follow up of  an email by telephone call  could ensure  message is well understood and provides  room for clarification if required. Another example when communicating to your sales force ; morning briefs, roundtable discussions, training, and coaching forms a good platform for effective communication with individuals/teams members)

For a larger audience or customers my communication will be as simple as ABC.  I will also provide a window for a feedback , for example through ''contact us'' mechanism such as  Free toll numbers free sms . This will encourage recipients of the message to call back to either enquire about a product, or complain whatever the case may be. Your analysis on this feedback will highlight to you how effective your message was.

In brief keep your message to your team or customers as simple and plain as possible - No jaggons or heavy vocubularies. Keep it stupid simple (KISS)!

Communication is always a two way process.  Either you are delivering or receiving a message, "Empathy" and "Rephrasing" of what you have communicated and what you have listened is understood.  Also, depending on the situation, if one is conveying the message through an email, the message must be written in small sentences.  Where appropriate, the message should be written in list form (bullet list or numbered list etc), to separate each task.  When it is a verbal communication, the conveyor must ask the listener for any ambiguities.  Also, it should be accounted that while conveying a message, it should be noted that the audience is fully attentive, which can be judged by their body language, where they are nodding their heads and sitting in upright and attention position and where necessary, they are asking questions.

Hope you will like the answer.

The following are the ways of ensuring that ones message is understood:

1. Clearly encode ideas into a meaningful and receiver comprehensive message

2. Send this message through the right medium to reach the right audience.

3. Seek feedback to determine the extent of message understanding by the recepient.
