First of all, you shouldn't delay contacting your customers which isn't going to be a good impression.

Second, if you re at some point always remember to "apologize" to your clients that will let them understand that why you delayed.

Third, replying via email doesn't take much time. If you would like to you can create nice templates and in between you simply copy and paste and reply that way you re not delaying anything and you re doing fine.

Just because you can reply back to an email instantaneously, at any given hour of the day, doesn’t necessarily mean you should.

here are  few tips to help you manage your time in the process:

first of all you should create your own policy for answering your emails (and do that as soon as possible) call it email time managment

divide them to work, personal, managment, and priorities

example: work emails should not take more than a day to reply, friends it can bear a couple of days

set auto answering modes

set fixed times to answer email (noon and late afternoon)

i guess this is a start.

This is very tricky - postponing the answer usually results in weeks of follow up delay. My approach (method) here is:

1. Process my email inbox twice per day during a dedicated time interval, reserved for email communication only.

2. All spam I delete immediately.

3. All emails that just give me information, I click to see online and clip to Evernote.

4. All emails that are actionable, but I can delegate, I forward to my colleagues or my team.

5. All emails that require only an answer from my side (without detailed research), I answer immediatelly.

6. All mails that require research and/or series of actions, I put in my tasklist and answer immediately to the sender that his/her email is being processed and he/she will receive an answer shortly.

7. When the task is done, I answer to the sender with the final reply.

The key here is:

A. To block time for email processing on daily basis.

B. To act immediately.

C. To follow a procedure and make it a daily habit.

I hope that answer was helpful :).
