Status meetings is the medium not only to share the project status (project performance against baseline), but the important part is you will identify potential issues, risks based on participants' feedback. You need to involve only relevant leads in the status meetings who are responsbile and accountable for their respective areas. As Eman Hassan mentioned, you need to drive the meeting to get feedback and use the data to further analyze and update project plans, create/update contingencies..
it's a tool used for the success of the project, if used effectively; this means to have a regualr status meeting informing the team of the project current status is not the element that lead to the final success of the project. Rather, it's the feedback you get from the particpants, the suggestions for imporvement to the schedule, the data you gather from their obeseravtions, any extra comment you get from your team players in the differnt prespective of the team, and how you work with it on your project calander.
Status meetings reflects the "AS IS" position of the project - what needs to be monitored is are we leading or lagging the project time line - In case we are leading it needs to be understood what went right & try to replicate the same where we are lagging & try to further improve on the time lines & also to see & watch was there a lot of buffer built in the system. In case we are lagging focus needs to shift on the most critical path & how to get the same on track - by deploying more resources or working around the constraint to get back as close as to schedule - constant updates on the projects critical path & constraints for moving ahead will keep the project management team focussed to meet the challenges & mitigate issues. In fact updates need to be hels on a frequent basis not necessarily with the whole project team but with immediate teams to save on time & cost of others.
To my mind updation helps with clear focus on actionable items

Meetings should not be used for updating the status of the project or operations as the same can be done effectively by having a proper communication management plan for work progress and status reporting.
This will save considerable amount of man-hours which can be used for work or for leisure with personal hobbies & family resulting in better work-life balance.
As meetings consume precious time, they should be for other important purposes like strategic planning, opinion seeking, knowledge sharing, decision making, etc. with a fixed agenda, time schedule and advance notification to enable the particpants to come prepared.
Status meeting is an effective tool to measure targets and achievements of the tasks. It is a one kind of monitoring meeting to evaluate the work performance, barrier and next course of action to implement the project activites in right time. Baseline survey will be helpful to measure the success of the project.
Frequest Status Meetings ensure the successful flow of the project--it helps to identify the areas where quick decisions are required to solve a potential crisis in the near future in order to ensure timely completion of the project. Eg. Such meetings are helpful for labour require assements and material requirements and also for giving priorities for operations.
All members have clearly highlightned the importants. Thank you.
YES it does. An EFFECTIVE status meeting bring "People & HumanHOURS" with clear intent of "tracking the TRAIL, validating the milestones achieved, predicitng & solving hick-ups, simple celebrations on mini-goals, reviewing the road ahead,....." then success is a NATURAL OUTCOME. However, when people are NOT valued & their hours are WASTED.......the status meeting STAYS and PROGRESS stops....!!
Meetings are an essential part of any project. How well the project team performs is directly proportional to the timeliness and effectiveness off the teams’ ability to communicate status among each other.
It keeps everyone in the loop
The status of the project
Discuss challenges
Effective status meetings are the infrastructure for any project. Its essential for many and many reasons.
Exchanging ideas.
Brainstorming.
Discussing the future actions and steps to be taken.
Discussing gaps, obstacles, issues.
Revealing the progress achieved until now in the project and if it is right on time.
Discussing the financial side of the project to know if the cost is more than expected and how to return things back to normal.
Discussing the issues faced by each team working on the project. how can support be provided , is traning needed, is more employees needed, is the client asking for minor or major changes in the project.
