EVENT MANAGEMENT:

Event planning is the process of planning a festival, ceremony, competition, party, concert, or convention. Event planning can include budgeting, establishing dates and alternate dates, selecting and reserving the event site, acquiring permits (alcohol permits, insurance licenses, etc), coordinating transportation and parking, developing a theme or motif for the event, arranging for speakers and alternate speakers, coordinating location support (such as electricity and other utilities), and arranging decor, event support and security, catering, emergency plans, aid stations, and cleanup. Event management is the application of project management to this process.

The industry now includes events of all sizes from the Olympics down to a breakfast meeting for ten business people. Many industries, charitable organisations, and interest groups will hold events of some size in order to market themselves, build business relationships, raise money or celebrate.

Event management is considered one of the strategic marketing and communication tools by companies of all sizes. From product launches to press conferences, companies create promotional events to help them communicate with clients and potential clients. A number of elements such as music, live entertainment  or even the particular venue may be used to influence the tone and atmosphere of an event.

Event managers may also use news media to target their audience, hoping to generate media coverage which will reach thousands or millions of people. They can also invite their audience to their events and reach them at the actual event.

The event manager is the person who plans and executes the event, taking responsibility for the creative, technical and logistical elements. This includes overall event design, brand building, marketing and communication strategy, audio-visual production, scriptwriting, logistics, budgeting, negotiation and client 

 

How to market:

1.    Conducting a successful event with overall attraction itself is helpful for the marketing.

2.    Post Modern Branding for the event management team.

3.    Post Modern communication technique to reach prospective clients and participants. The participants and clients will also become ambassadors for your business.

4.    Public Relations through Medias and direct involvement.

5.    Pre announcement of the events well in advance to get a wide coverage.

6.    Press kits, broachers etc.  Stage by stage even News paper supplements for the events highlighting your brand.

7.    Appointing of promotional representatives.

8.    Propaganda in the form of conducting mini-events at the places of people gathering. 

9.    Promotional Merchandise. 

10.  Indirect Promotions by sponsorships etc.

I would concentrate my budget around Google AdWords, SEO and Social Media Marketing. Additionally I'd write news stories and get them published in the events section of local print media including lifestyle magazines, tabloids and leading newspaper supplements.
