My practice has been: 1.
Set the date time and location well in advance, no one likes impromptu meetings.
This can send mixed signals, suggesting you are a disorganized leader or there is a crisis pending that you did not anticipate.
Both of these are not leadership.
2.
Email the agenda in advance, so those attending will be prepared for discussion and questions.
No one likes surprises when they do not know the topic(s) of the meeting.
3.
Set a time limit, everyone’s time is valuable theirs and yours.
4.
Limit the number of discussion items, I personally like 2 or 3 at the most and are related to each other.
5.
Always encourage staff input, I never considered myself to be the “fountain” of all knowledge, recognize individuals for exceptional input.
6.
Recap the discussion in a few short sentences at the end, if there are action items identified clearly state who are the owners and the due dates for each.
7.
Thank everyone for his or her participation.
8.
If required tell them there might be a follow-up meeting in “X” days or weeks.
9.
After the meeting, I email attendees with a summary
