First:Have a clear view & understanding on your objectives.
Second:Have a flow chart on the sequence of the activities you are going to perform in the event.
Third: List out the requisites of each sequence of the event.
Fourth: Keep plan B to tackle if anything goes wrong.
Try and hire a good and proven Event Organizing Agency and see through their plans in details and ask questions for mutual clarifications.
