Only a good listener can be a good speaker or writer, so I believe first of all the listening skill should be checked and then writing and speaking. In this process the usage of correct words in a specific situation is very important. I.e whatever the task or situation is given the secretary shouldn't get loose his/her cool and choose the words of moderate kind I.e not aggressive or with a hint of aggression. Thank you!

1. Verbal messages - The words she/he choose

2. Paraverbal messages - How she/he say the words

3. Non-verbal messages - Body Language
