in a face to face conversation,1st step. Let the client sit if provided with a seat.2nd Let him or her talk and burse out all concerns, mean while take note details from his/her concern. After that, your turn is review concerns from him/her that you have taken note, then lastly explain to him/her why and what such thing went wrong and provide him/her the right solution to her problem, when everything is fine, dont let him/her leave you without smiling.
