one and the most important is the cleaning the office should be clean always and everything in their place .

second at least in each office on the wall at least one spray perfume for the smell so the smell would be nice and it will help you alot in the work but not for pregnant :D

Third and last yourself you need to be smily and more positive when you go inside the office so you will start your day with smooth and end end with smooth :)

There are number of factors for the smooth functioning of an office, some of them are as follows.

Firstly we should create an environment which is conducive to work by respecting each other

Avoid politics in the office and be diplomatic viz taking one side in an issue, gossiping etc

In addition to overseeing personnel, office managers ensure the smooth functioning of a business. For example, office managers within a healthcare facility may be called upon to order general supplies like paper, pens, and toner, as well as medical supplies such as syringes, medicine or vaccinations from specific vendors. Accordingly, managers may be required to research several vendors for pricing, delivery dates, and other terms of sale.

With the increasing use of computer systems, office managers may also be responsible for ensuring that systems operate cohesively. In small offices that don't have their own computer support personnel, office managers may need computer systems troubleshooting skills. In larger offices, managers may oversee the work of technical specialists; recording frequent problems and researching potential solutions.

Some office managers may take on accounting responsibilities. In these cases, office managers may be required to oversee payroll expenses, send invoices, and process paperwork. For example, an office manager may be required to monitor overtime, ensuring that expenses remain as low as possible, while another manager may be called upon to follow up unpaid invoices.

In my views the following are the basics to keep your office work effectively.

 

1-    Maintain office layout: The office space must be well utilized in such away the concern section and/or employee would be easily identified, also the motion of employees and work will easily done. Also visitors waiting space to be reserved so that the employee will have one client at a time to ensure good quality of service. Also sign boards should be located so that the clients can easily identify his concerned employee to save time and lessen disturbances.

2-    Maintenance of office furniture, tools and equipment: To facilitate the performance of the employee’s, furniture, tools and equipment like tables, chairs, coping machines, communication tools, PCs, lights and etc. must be well maintained and functioning properly, all maintenance contracts if any must be well formed and assuring punctuality and fast actions. Disturbances of these tools may result in bad consequences.

3-    Office automation. Providing systems and programs that facilitate work save and retrieve information whenever called.

4-    Office punctuality management. Using of time keeping tool, punching machine, manual register etc.

5-    Communication system. Installing a cost-effective communication system e.g. Telephone exchange, answering machine, outlook, website, toll free, intercometc.

6-    Policies and procedures: The policy enlightens the employee about what do and through whom, adding to it how to be done and at what sequence is the procedures.

7-    Norms and cultural. The office must follow norms that reflect the organization culture and promote to its product and business.

8-    Visitor’s entertainment: The visitor should bear the waiting time until his/her work is processed hence, the office manager should ensure that the entertainment which providing easiness and joy like TV, newspaper, publications, canteen services & etc.

9-    Reporting & Feedback: The reporting system is very important so that the manager can audit his departmental workflow so that he can fill the gaps and improve the output. The departmental report to be submitted to the CEO or the GM who will have to form another report to be escalated to the directors for strategic decisions.

Cleanliness, health & safety. Not just to comply with government rules and regulations but it a basic reasonability for everyone to insure that his surroundings living and nonliving must be safe. Also the basic needs for call of nature must be provided and it must also be healthy and clean, when you are providing and maintaining these facilities the will feel the responsibility for using the same in appropriate manner.
