Customer complaints are to be treated as very important. Any complaint has to be reviewed and attended to as soon as possible.
Its important to keep clients happy at all times , within your company rules and regulations.
Every organization has systems in which customer complaints should be logged and attended to.
give your name and position (this will give customer the impression of being taken care of)
1- apologys on behalf of your company for the customer because he is complaining
2- ask the customer the reason of the complain
3- give him complain reference number and how to contact you for follow up reasons
4- ask the customer to give you e nough time to solve the problem (always give fixed time like , i will call you back after one hour)
5- NEVER be late for the customer
6- after solving a problem call the customer to confirm solving and thank him for patience
offer to get contacted by the customer if any problem happens in the future
