preparedness to meet the customer expectations is the key to gaining business
Ideally you must always be in an Audit ready state. However to prepare effectively you must:
1). Gain an agenda from customer. On this they should include purpose of visit (Scheduled, any non-conformance or product quality issues) any target products they are interested in?
2). Gain a contact list from the customer on who will be attending.
3). Communicate to your management team the date of the customer visit and all support that is required.
4). Hold sessions on how to communicate with customer, especially to personnel that will be involved in the audit.
5). Conduct self-assessment by walking through the plant and looking at obvious areas of deficiency and putting them right.
6). Generate a checklist.
7). Prepare a presentation of your organisation, including Health and Safety, facilities, organisational structure, accreditations, brief on results and future of company (Growth, new business etc).
8). Have some finished products ready for demo / presentation.
9). Define clear roles and responsibilities and communicate them (Host, documentation reviewer, subject matter experts etc).
10). Set up closure meeting with senior management team and all involved in the audit.
