Hard copies are to be maintained for all contractual and financial agreements and payments. Hard copies for regular correspondences may be ket as soft copies or hard copies as per company policy, norms and guidelines.
Both have to follow on case to case basis. Where legal implications hard copies should be kept as well as scanned soft images too. However, as much as possible soft record should be kept and minimize the hard copies.
Both technologies are recommended
its very sensitive question !
its depend if you really need a hard copy & have shelves for it.
for softcopy its depends on your storage, backup & RECOVERY Plans
Soft and Hard copies should be kept for records. Both recommended.
It depends on the importance of the information on the those documents. Sometimes in order to save space and use it productively the company opts to maintain electronic copies only. It is up to IT to ensure fail safes and redundancies to ensure that those copies are not lost.
Regards
Companies adopt both approaches together .i.e documentation in soft as well as hard form.
Certain documents (i.e. Employment Contracts / Addendums to the Contract and other correspondence that requires signatures) should be kept both in originals as well as soft copies.
Hard copies of important documents should always be maintained, filed and kept in a safe place away from the office. Soft copies of the same should be maintained on the computers or as back ups on the available solutions
Hard copies are needed in:
Forms, letterheads, invoices, contracts, singed documents, etc.
Softcopy didn't replace yet the hard copy 100%.
Companies should have hard copies of all documents for all the time
