I never delete saved files. If the files are no longer needed I scan them, save them in an external hard drive and compress the files so it won't take much space.

Standard period of saving documents would be 4 months and then in Records Management it archives the data for backup purposes.
Standard period to save old documents maximum 20 Years.
However, we can keep files by scanning and saving in a hard drive.

It depends on the type of documents in question and the local regulation in the country, in some countries you have to save some documents for specific period by law.
