Refer to the Contract terms and conditions or any other annexes to it that may have introduced changes into related clauses.

It should be formal anyways, but the Contract may instruct some other steps needed to be taken. 

It usually goes under clause named "Change" or ""Change Procedure" or alike headings. 

My strong opinion is that the Project Team members shall always check the contract before any vital steps are to be taken.
