ERP is an Enterprise Application

ERP software is considered to be a type of enterprise application, that is software designed to be used by larger businesses and often requires dedicated teams to customize and analyze the data and to handle upgrades and deployment. In contrast, Small business ERPapplications are lightweight business management software solutions, often customized for a specific business industry or vertical.

Today most organizations implement ERP systems to replace legacy software or to incorporate ERP applications because no system currently exists. In fact, a 2016 study by Panorama Consulting Solutions, LLC., indicates that organizations implement ERP for the following reasons:

·                     To replace out-of-date ERP software (49%)

·                     To replace homegrown systems (16%)

·                     To replace accounting software (15%)

·                     To replace other non-ERP systems / had no system (20%)

Computers have become so complex and commonplace in organizations, it is much easier to integrate all of the data and processing software modules and hardware into one large unit that is easier to access and control. This is called Enterprise Resource Planning, or ERP. Normally ERP systems use the same database throughout an entire company to store various types of data for different computerized functions. When first developed, ERP systems were used only for large manufacturing companies. Today, they benefit all sizes of companies, even those that are quite small.

ERP- Enterprise resource planning is a set of integrated programs to manage the critical operations for an entire organization. At the centre of the ERP system is a database that is shared by all users. This makes it possible for all units in the organization to have access to current data to support operations and planning.

E.g CEO of a major airline wants to turn things around and make his company more profitable. Costs are up, and profits down and this has been a trend for past two years.  The company have about 100 planes that fly to more than 50 different cities all over the world. There are around 10,000 employees in 12 different countries and more than 20 million customers every year. It is not easy to run a big company like that. Fixing one thing is not going to be enough. Improvements across the entire company is needed from plane maintenance and safety to marketing and customer loyalty.

ERP has emerged as an important tool in controlling costs and products flows through a complex enterprise. One of the defining characteristics of ERP is that it integrates real-time information from across the entire enterprise.

The benefits of ERP system include:

  1. Improved access to data to support decision making

ERP systems use an integrated database to support all business functions. This facilitates operational decision making across the enterprise, resulting in seamless integration of various units.

  1. Elimination of legacy systems

Legacy systems are those computer-based systems that have been in place for many years but are no longer supported and don’t interface reliably with newer systems. ERP replaces multiple systems on different platforms into a single set of integrated software applications.

  1. Improvement of work processes

ERP systems are designed to implement best practices, which are the most efficient and effective ways to carry out a workflow or process.

  1. Upgrade of technology infrastructure

The implementation of ERP presents an opportunity to bring all information technology in an organization up to speed in an organized manner rather than gradually upgrading individual components when they need fixing.

However, there are also some challenges such as implementation of ERP system can be costly, disruption of upgrades, long implementation time, difficulty in managing change and software customization.
