1. Result oriented objective and agenda

2. Intimation of meeting agenda and objectives to the participants before conducting the meeting. The participants should know when, where and Why the meeting is arranged. All the participants should know their role in the meeting.

3. Focused points of discussion.

4. Jot down the solutions arrived from the Focused points of discussion.

5. Jot down the points for which solution is not arrived after discussion and follow up.

6. Prepare the minutes of meeting based on above activity and circulate to the concerned for record.

Effective meetings in project management need to follow best practice.  Here are some guidelines to ensure the success/effectiveness of these meetings

  • Purpose of the meeting:  why is this meeting and what is it to achieve
  • Participants/Attendees:  Who should be in this meeting and what is their role/contribution
  • Meeting Logistics:   place, time and duration of the meeting.  (Keep it short and well-defined)
  • Meeting Agenda:  what is to be discussed/covered during this meeting (with time slots and people in charge of each item if possible)
  • Meeting Administration:   to control the time spent on each time per agenda and to document discussions/outocmes of the meeting
  • Meeting communications:  before, during and after the meeting to ensure effective followup

 

There are more things, but this is the main thing which comes to mind !
