A very complex question.

The only real answer to that is "it depends".

Basically it is always better to use tabular data in MS Excel, since Excel is developed to work with tabular data.

But if your data is purely text based, for example if you have a list of people who were working on a document. It doesn't make sense to use Excel for this.

If you are using tabular data that exceeds about50.000 datasets you will have to consider to use MS Access, since Excel will eventually reach its limits of performance.

Nevertheless you can basically say:

Very basic tabular without any further use for the data - MS Word

Tabular data you want to work with or make small analysis with - MS Excel

A lot of datasets that you have to filter or put together - MS Access
