Meetings. They can be regarded as postive aspect in management. But at other times they can be regarded as negative aspect. Explain?

Meetings are a communication tool. Like any coomunication tool, if carried out effectively, planned, managed, and its performance is measured, meetings will become a positive aspect in management. Otherwise, they will become negative aspect in management.

Longer, Unplanned, Irregular, Discussion on Random Topics, No follow-up, No implementation of decisions taken, No Management Commitments etc are some of the reason why people dislike meetings.

Meetings, represent one the most effective tool(s) should be used within any enterprice, such issues will allow people to exchange brain storming ideas,solution(s)....etc , & its very effective tools used for daily operation(s) OR/AND to facilitate communications within organization. Sometimes for unprofessional managments it well not add any value due to mis-managment,bad follow-up......ect , & I believe that most of huge business profits may be slipping down due to mis-used of such important tool. Meetings is one of the common activity which prevails in any businessess. We can classify meetings into two: 

  • Good or Effective and
  • Bad

Effective meetings make a business smart by producing creative strategies, solid plans, and workable solutions. And smart businesses always outperform others. Bad meetings produce nothing, except maybe a decision to call another meeting.

 

Good meetings produce results that people support. And that represents a major operational efficiency because such results cost less to implement. Results (if any) from a bad meeting seldom have everyone's support. Implementation is then hindered by broken commitments, competing activities, and sabotage. In turn, the business wastes huge amounts of money on duplicate efforts and dead-end projects.

 

Effective meetings reduce employee turnover, which represents significant savings. In contrast, bad meetings bore top performers into quitting.

 

When people work as a team to produce a result, they feel pride and ownership in that result. Thus, they feel inspired by their work. And that translates into greater productivity.People are attracted to leaders who help them. And good leaders run meetings characterized by achievement. This creates loyalty to the leaders and to the business. In contrast, bad meetings are filled with failure, which causes frustration, resentment, and anger.

 

Effective meetings work as a success engine in business. The employees use them as a reliable tool to perform their work. As a result, each success motivates to them to work harder.

 

We can make our meetings effective by:

 

1) Test before meetings: Test the importance of a meeting by asking, "What happens without it?" If your answer is, "Nothing," then don't call the meeting.

 

2) Prepare goals: These are the results you want to obtain by the end of the meeting. Write out your goals before the meetings. They should be so clear, complete, and specific that someone else could use them to lead your meeting. Also, make sure they can be achieved with available people, resources, and time. Specific goals help everyone make efficient progress toward relevant results.

 

3) Prepare an agenda: Everyone knows an agenda leads to an effective meeting. Yet, many people "save time" by neglecting to prepare an agenda. A meeting without an agenda is like a journey without a map. It is guaranteed to take longer and produce fewer results. Note, without an agenda, you risk becoming someone else's helper. 

 

4) Inform others: Send the agenda at least a day before the meeting. That helps others prepare to work with you in the meeting. Unprepared participants waste your time by preparing for the meeting during the meeting.

 

5) Assume control: If you find yourself in a meeting without an agenda walk out. If you must stay, prepare an agenda in the meeting. Collect a list of issues, identify the most important, and work on that. When you finish, if time remains, select the next most important issue. 

 

6) Focus on the issue: Avoid stories, jokes, and unrelated issues. Although entertaining, these waste time, distract focus, and mislead others. Save the fun for social occasions where it will be appreciated. 

 

7) Use structured activities in your meetings: These process tools keep you in control while you ensure equitable participation and systematic progress toward results.

If the management is unable to achieve the meeting objective, then its a waste of time and resouces and should categorize negative. other wise meetings have positive outcomes most of the times.

Monthly meets- Elaborate/ Detailed and

Daily meetings should be short and crisp-  But should be held DAILY!! :)

 

Long ardous meetings everyday could also be a sign of an attention seeking, insecure Boss and could spread panic and dissatisfaction among team members
