The basic rules for a successful meeting1 - Select the objectives of the meeting:
Why do we want to accomplish? Why hold this meeting?2 - attended the work program of the meeting:

When meeting will begin and when it will end?4 - Select a suitable place for the meeting:
Make sure that the place is room for all, and comfort requirements are available in it.5 - Select Chairman of the meeting:
It is imperative that the led one of the participants of the meeting, but the discussions will be general and fragmented and ineffective.6 - encouraged to participate:
Encouraged the participants to debate and dialogue on topics of the agenda and to submit their views and suggestions.7 - Write the discussions at the meeting:
Ask one of the participants that the write down all the discussions and recommendations of the meeting, and his remarks in a precise manner and in plain language.
My practice has been:
1. Set the date time and location well in advance, no one likes impromptu meetings. This can send mixed signals, suggesting you are a disorganized leader or there is a crisis pending that you did not anticipate. Both of these are not leadership.
2. Email the agenda in advance, so those attending will be prepared for discussion and questions. No one likes surprises when they do not know the topic(s) of the meeting.
3. Set a time limit, everyone’s time is valuable theirs and yours.
4. Limit the number of discussion items, I personally like 2 or 3 at the most and are related to each other.
5. Always encourage staff input, I never considered myself to be the “fountain” of all knowledge, recognize individuals for exceptional input.
6. Recap the discussion in a few short sentences at the end, if there are action items identified clearly state who are the owners and the due dates for each.
7. Thank everyone for his or her participation.
8. If required tell them there might be a follow-up meeting in “X” days or weeks.

Rules for Successful Meeting:
1. Communicate an E-mail a day before about the team meeting.
2. Start the meeting at the time set in the email.
3. Recognize the team for their good work and individual achievements.
4. Set the goals and target for the next months.
5. Share ideas and take feedback in the team.
6. Focus on target and customer needs or satisfaction.
7. Keep a notepad and a pen to jot it down valuable points.
8. Give ear to every body's point be patient, calm, and share your thoughts after one has done.
