The are few reports that might be efficient and vital for monitoring warehouse managing process:
- Dead Stock list: This shows the progress in eliminating the items which consider as losses for both: place and value. The same should be sent to the sales department if the goods were finished products like cloths, medicines.., or the the production department: if the goods were raw material, tools and devices, or to the maintenance department if the goods were spare parts.
- Loading report: which shows the number of shipments loaded, and reflects the efficiency of a very important activity in the warehouses. Also, it contains the scheduled shipments and the stage of each shipment during preparing process. This one could be sent to the sales, and finance departments, and to the management that the warehouse follows.
- Weekly wasted products: Normally, there are some losses happened during the process of handling the goods (in - out), regardless they were finished products from the workshop or to the sales cars, or they were spare parts, raw materials, packaging materials, tools and devices: received from the suppliers, or issued to the work shop. Trying to reducing this figure will reflect the delicacy and strong supervision of the warehouse management, and the level of understanding, training, skills and knowledge of the warehouse workers. surely it effects the costs as well. This could be good KPI for the warehouse workers and an indicator for the productivity. This could be sent to the finance department, and HR management.
- Warehouse stock on hand: It shows the items available in the warehouse, and is sent to the finance department who calculate the value of them. The frequency or dates of issuing this report depend on the finance department requirements. This report shows finance departments the stock fluctuation and avoid increasing the stock to unacceptable values, which means that there will be dead stock or wrong planning in the production department or sales department.
- Products shortage: this shows the products unavailable in the warehouse, and might cause sales losses. It should be sent to the production and sales department.
- Incoming items: This shows when the goods ordered are going to arrive, according to the purchase order terms. Finance, maintenance and production departments will find this report vital and will stop asking about their requirements, due to their advanced knowledge.
Please note that every industry has its special requirements, and you can feel and issue the reports you have to issue from the daily problems and frequent questions by sales, finance and production departments. Try to avoid letting other departments ask you the same question twice, as it will mean that there is specific information required and still missing in your reports.
