Did you hear about 'Science of Meetings'? How simply could you define this term? I am more familiar with the art of calling a meeting! I understand that the phrase “science of meetings” refers to the professional way of holding a purposeful and result oriented meeting.
MEETINGS ARE BUT JUST ONE DIMENSION OF A TEAM AT WORK .
There is no limit to the potential of a good team.
Given an impossible task , team members will reinforce each other’s confidence as they seek to turn the impossible into reality.
The collective ability to innovate is stronger than that of the individual because the combined brain power of a team exceeds that of one person.
By harnessing this power, a team can go beyond simple , useful improvements to achieve real breakthroughs.
MEETINGS ARE AN EFFECTIVE WAY OF WORKING COLLECTIVELY To harness and take full advantage of team –power, the individual brains and personalities involved must be encouraged to collaborate.
This process is vital in generating results.
Giving stretching goals to a team will encourage it to work collectively and introduce a sense of urgency as it concentrates on getting positive results in shortest possible time.
MEETINGS NEED TO BE PLANNED AND ORGANIZED Good meetings just don’t happen, they need planning , preparation and skills that group members and leaders can learn.
When meetings are fair, open and honest, the opportunity for healthy discussion and meaningful results is increased significantly.
PAYING ATTENTION TO SETTING AGENDA FOR THE MEETING It is of paramount importance to arrange the agenda items in order of priority, knowing that early part of the meeting is usually the liveliest and the order of items influences the meeting atmosphere.
Decision items are best placed early on the agenda when a energy level is highest.
Start and end the meetings on time.
As a last agenda item, evaluate the meeting by asking; did we accomplish our goals for the meeting; what can we do to improve how we work together; what remains to be done.
Schedule the next meeting’s time, date and venue.
Recap- at the end of the meeting give a summary of what was decided.

I think the Science of Meetings is all about conducting successful and result oriented meetings.
To achieve this you should have answer to the following questions:1.
Purpose - What is the Objective of this meeting? Can we manage without calling this one?2.
Invitees - Is every one who is invited has to be there? Will he or she contribute positively to achieve the goals we are looking forward?3.
Date, Time and Location etc - Is every one who has to be there consented for the Location and time?4.
Duration - Is the meeting duration being fixed is sufficient to achieve the goals or is more than enough or extra long to cause disruption to others?5.
Agenda - Have you jotted down all bullet points that are likely to be discussed in the meeting and communicated to all participants? This helps in the preparation for the meeting, proper conductance and management of meeting by avoiding wastage of time avoiding side talks and straying into non issues.6.
Minutes of the meeting - Have you appointed some one as the minute taker who will take notes and issue the minutes of the meeting to all concerned after it is over?7.
Meeting Chair person - The most important person who will chair and conduct the meeting.
This is the person who controls, moderates and identifies the issues, actions and allocates the action to individuals.
Is he capable to do that?8.
Target Date - Last and not the least, have targets been fixed for the actions assigned to individuals? Is the next meeting Date allows for all action parties to have sufficient time for taking actions and report back in the next meet? To me these comprise the "Science of Meeting"

This is end result oriented meeting and effective to accomplish a  difficult task.

Meetings should be a Team Work with a good Leader - decision to be taken quickly instead of prolonged amd unwanted discussions.
