I would sum up the need for an effective and efficient project management by having proper project governance, as well as proper planning to all aspects of project.

You need to align the project goals and objectives with the company strategiic mission and vision goals. Also need to get a support from the executive management.

  1. Define the scope: Your project needs to be clearly defined, down to the goals you want to accomplish. Otherwise, how will you know when the project is over or if it was successful?
  2. Determine what resources you have: From human resources to the budget, you need to know what you have to work with, if only so you can balance your resources and the time in which you have to complete the project.
  3. Decide the time line: There are often external due dates that dictate how long you have to work on a project. But if you don’t have the necessary resources, you may need to negotiate those expectations.
  4. List the key dependencies: Any big project will have multiple moving parts that you need to complete. You need to know what order you need to complete the big pieces of the project so that you can keep moving along the path efficiently.
  5. Break down the work into steps: While you probably don’t need extremely specific steps (like ‘open your laptop’), you do want to break work down into concrete tasks you can assign. Tasks like ‘design a website’ are probably too broad.
  6. Create an initial plan: Often within project management software, you want to create a specific plan, down to when different tasks need to be completed. If you’re working with a team, you’ll also want to make sure that each member knows his or her assignments.
  7. Get feedback: Depending on just who you’re completing a project for, you’ll likely need to get the okay to move ahead from stakeholders (like your boss or your client).
  8. Do the work: It seems like doing the actual work that makes up your project should be a bigger step, but once you have a plan in place, you should be able to just follow it and get everything done.
  9. Adjust your plan as necessary: Of course, problems may pop up as you’re working. But with a good plan in place, resolving them should be a matter of making adjustments, rather than starting all over.

A project can be effectively manage through ASAP methodology. The best solution is there in SAP.

 Its purpose is to help design SAP implementation in the most efficient manner possible. Its goal is to effectively optimize time, people, quality and other resources, using a proven methodology to implementation. ASAP focuses on tools and training, wrapped up in a five-phase process oriented road map for guiding implementation.The road map is composed of five well-known consecutive phases

Phase1: Project Preparation : During this phase the team goes through initial planning and preparation for SAP project. Define project goals and objectives Clarify the scope of implementation Define project schedule, budget plan, and implementation sequence Establish the project organization and relevant committees and assign resources

Phase2: Business Blueprint The purpose of this phase is to achieve a common understanding of how the company intends to run SAP to support their business. Also, to refine the original project goals and objectives and revise the overall project schedule in this phase. The result is the Business Blueprint, a detailed documentation of the results gathered during requirements workshops.

Phase3: Realization: The purpose of this phase is to implement all the business process requirements based on the Business Blueprint. The system configuration methodology is provided in two work packages: Baseline (major scope); and Final configuration (remaining scope). Other key focal areas of this phase are conducting integration tests and drawing up end user documentation.

Phase4: Final Preparation: The purpose of this phase is to complete the final preparation (including testing, end user training, system management and cutover activities) to finalize your readiness to go live. The Final Preparation phase also serves to resolve all critical open issues. On successful completion of this phase, you are ready to run your business in your live SAP System.

Phase5: Go Live & Support: The purpose of this phase is to move from a project-oriented, pre-production environment to live production operation. The most important elements include setting up production support, monitoring system transactions, and optimizing overall system performance.
