In project management, the term scope has two distinct uses: Project Scope and Product Scope.

Scope involve getting information required to start a project, and the features the product would have that would meet its stakeholders requirements.

Project Scope"The work that needs to be accomplished to deliver a product, service, or result with the specified features and functions."Product Scope"The features and functions that characterize a product, service, or result.

Validate Scope

Validate Scope is the process of formalizing acceptance of the completed project deliverables. Validating project and product scope takes place with the project sponsor and/or customer. It should take place as each deliverable is completed. It signifies that the customer or sponsor approves and accepts the deliverable. By conducting scope validation throughout the project you reduce the likelihood of hearing, “Oh, that isn’t what I was thinking of at all.”Control Scope

Control Scope/Schedule is the process of monitoring the status of the project activities to update project progress and manage changes to the schedule baseline to achieve the plan. Controlling the schedule includes monitoring and controlling any and all of the project schedules. You may have several schedules you are managing on your project, for example,

  • Milestone schedule
  • Baseline schedule
  • Target schedule
  • Deliverable schedule
  • Detailed testing schedule
  • Network diagram

How do you define the project scope?

 

The work and resources that go into the creation of the product or service are essentially the things that frame the scope of the project. The scope of the project outlines the objectives of the project and the goals that need to be met to achieve a satisfactory result. Every project manager should understand how to define the project scope and there are some steps that can be followed when doing this.

 

Steps for defining the scope of a project .

 

To define a project scope, you must first identify the following things:

 

  • Project objectives
  • Goals
  • Sub-phases
  • Tasks
  • Resources
  • Budget
  • Schedule

 

Once you've established these things, you'll then need to clarify the limitations or parameters of the project and clearly identify any aspects that are not to be included. In specifying what will and will not be included, the project scope must make clear to the stakeholders, senior management and team members involved, what product or service will be delivered.

 

Alongside of this, the project scope should have a tangible objective for the organization that is undertaking the project.

 

The purpose may be to create a better product for a company to sell, upgrade a company's internal software so that they can deliver better service to their customers or to create a new service model for an organization.

 

These things are integral to defining the project scope, because they will play a part in how project methodologies are applied to the project to bring it to completion.

 

As a project manager, understanding and being able to define project scope will give you a focus and sense of purpose when executing the project. Understanding the scope provides you with the foundations for managing project change and risk management. It enables goal setting and a timeline to work towards, as well as key points for reporting on the progress of the project to senior management and other stakeholders.

In my opinion, we are talking about projects execution and projects are dynamic, however we can define the scope as a benchmark succession that can mesure, control and if someone is added, you can slp it in the planning svhedule as well as a mesure how much it will cost in time and budged repercussion.

Then the answer is elaborate the project scope as summatory of  scopes, each one as benchmarks succession and control it, make decision in base of these information to control and lead the project.

To validate and control the scope:

Must concern on the process by which data are collected and analyzed in order to provide information to policy makers and others for use in program planning and project management.

Monitoring focuses on the implementation process and progress towards the achievement of program objectives.

Evaluation measures how well the program activities have met expected objectives and/or the extent to which changes in outcomes can be attributed to the program. This process should happen throughout the life of a project, not just at the end, because it helps program implementers make informed decisions regarding program operations and service delivery based on objective evidence. It also ensures the most effective and efficient use of resources, helps determine the success or failure of a program, and assists in meeting organizational requirements such as reporting. Most importantly, monitoring and evaluation often convinces donors that their investments have been worthwhile

The key to validate is focused on data analysis and the design of new tools.
