Best way write instructions and procedures is making them visual with pictures. Not all the workers may understand the language used in the instructions, but everybody understand pictures.
Key steps must be photographed (as much possible in colour) and arranged in a sequence in the instruction sheet with key information / data written near to them.
Demonstrate "Dos" and "Donts" in the instructions so that people become aware of what care they must take.
Procedures and work instructions are not always the same thing. Procedures points to the tools to use and when to use them but they don't tell you how to use them. Good procedures and/or work instructions comppose of the following:
- Prrequisits to start the work and this includes health and safety issues and the team required to do the job.
- Clear steps to accomplish the job written in the language(s) of the people doing the job and using graphical illustrations wherever possible. This includes safety instructions and in-process quality measures, how and where to record the results of each step (if required for tracking purposes), reference to standards and operation manuals, exception handling.
- Handing over the completed job to the next stage
Good procedures and/or work instructions must be tested and approved by the person(s) accountable for doing the job.
