Through review tab we can protect of worksheet in Excel.

Protect a Worksheet in Excel

 

  1. Open an Excel file to protect. If you open a new file all cells in the worksheet will be protected. If you wish, follow the example in step one to unlock certain cells in a worksheet.
  2. Click on the Home tab.
  3. Choose the Format option on the ribbon to open the drop down list.
  4. Click on Protect Sheet option at the bottom of the list to open the Protect Sheet dialog box.
  5. This dialog box contains a number of options when protecting the worksheet.
  6. The first option is to add a password to prevent worksheet protection from being turned off. This password does not stop users from opening the worksheet and viewing the contents.
  7. Next there a number of options that can be turned on or off with check boxes. The first two allow a user to drag select locked and unlocked cells. If these two are turned off, users will not be able to make any changes to a worksheet - even if it contains unlocked cells.
  8. The remaining options allow users to carry out specific tasks on a protected worksheet, such as formatting cells and sorting data.
  9. These options, however, do not all work the same. For instance, if the format cells option is checked off when a sheet is protected, all cells can be formatted. The sort option, on the other hand, works only on those cells that have been unlocked before the sheet was protected.
  10. When you have selected the appropriate options, click OK.

Lock only specific cells and ranges in a protected worksheet
  1. If the worksheet is protected, do the following:
  1. On the Review tab, in the Changes group, click Unprotect Sheet.

 NOTE   Protect Sheet changes to Unprotect Sheet when a worksheet is protected.

  1. If prompted, type the password to unprotect the worksheet.
  1. Select the whole worksheet by clicking the Select All button.

  1. On the Protection tab, clear the Locked check box, and then click OK.

 NOTE   This unlocks all the cells on the worksheet when you protect the worksheet.

  1. In the worksheet, select just the cells that you want to lock.
  2. On the Home tab, in the Font group, click the Dialog Box Launcher Button image next to Font.

  1. On the Protection tab, select the Locked check box, and then click OK.
  2. On the Review tab, in the Changes group, click Protect Sheet.

  1. In the Allow all users of this worksheet to list, select the elements that you want users to be able to change.

  1. In the Password to unprotect sheet box, type a password for the sheet, click OK, and then retype the password to confirm it.

 NOTES 

  • The password is optional. If you do not supply a password, then any user can unprotect the sheet and change the protected elements.
  • Make sure that you choose a password that is easy to remember, because if you lose the password, you cannot gain access to the protected elements on the worksheet.

Unlock ranges on a protected worksheet for users to edit

 IMPORTANT   To give specific users permission to edit ranges in a protected worksheet, your computer must be running Microsoft Windows XP or later, and your computer must be on a domain. Instead of using permissions that require a domain, you can also specify a password for a range.

  1. Select the worksheet that you want to protect.
  2. On the Review tab, in the Changes group, click Allow Users to Edit Ranges.

 NOTE   This command is available only when the worksheet is not protected.

  1. Do one of the following:
  • To add a new editable range, click New.
  • To modify an existing editable range, select it in the Ranges unlocked by a password when sheet is protected box, and then click Modify.
  • To delete an editable range, select it in the Ranges unlocked by a password when sheet is protectedbox, and then click Delete.
In the Title box, type the name for the range that you want to unlock. In the Refers to cells box, type an equal sign (=), and then type the reference of the range that you want to unlock.

 TIP   You can also click the Collapse Dialog button, select the range in the worksheet, and then click theCollapse Dialog button again to return to the dialog box.

  1. For password access, in the Range password box, type a password that allows access to the range.

 NOTE   Specifying a password is optional when you plan to use access permissions. Using a password allows you to see user credentials of any authorized person who edits the range.

  1. For access permissions, click Permissions, and then click Add.
  2. In the Enter the object names to select (examples) box, type the names of the users who you want to be able to edit the ranges.

 TIP   To see how user names should be entered, click examples. To verify that the names are correct, click Check Names.

  1. Click OK.
  2. To specify the type of permission for the user who you selected, in the Permissions box, select or clear theAllow or Deny check boxes, and then click Apply.
  3. Click OK two times.

 TIP   If prompted for a password, type the password that you specified.

    1. In the Allow Users to Edit Ranges dialog box, click Protect Sheet.
    2. In the Allow all users of this worksheet to list, select the elements that you want users to be able to change.
    3. In the Password to unprotect sheet box, type a password, click OK, and then retype the password to confirm it.

 NOTES 

  • The password is optional. If you do not supply a password, then any user can unprotect the worksheet and change the protected elements.
  • Make sure that you choose a password that you can remember, because if you lose the password, you cannot gain access to the protected elements on the worksheet.

 NOTES 

  • If a cell belongs to more than one range, users who are authorized to edit any of those ranges can edit the cell.
  • If a user tries to edit multiple cells at once and is authorized to edit some but not all of those cells, the user will be prompted to select and edit the cells one by one.

Although there are also other option for protection.

Password protect worksheet or workbook elements

To prevent a user from accidentally or deliberately changing, moving, or deleting important data from a worksheet or workbook, you can protect certain worksheet or workbook elements, with or without a password. You can remove the protection from a worksheet as needed.

 

 IMPORTANT   Worksheet and workbook element protection should not be confused with workbook-level password security. Element protection cannot protect a workbook from users who have malicious intent. For optimal security, you should help protect your whole workbook file by using a password. This allows only authorized users to view or modify data in the workbook.

  • In Excel97, select File, Save As to display the Save As dialog box; then click Options in that box to call up the Save Options dialog.
  • In Excel2000 and later, select Tools, General Options when the Save As dialog box appears. If you enter a password in the "Password to open" field, the user must provide the correct password to open the file. If you enter a password in the "Password to modify" field, the user must give the right password to make changes to the file. Without the correct password, the file opens in read-only mode.
  • Excel2002 and later also lets you specify the type of encryption, if any, that will be used. Access this feature by clicking the Advanced button in the Save Options dialog box.

Protect worksheet elements
  1. Select the worksheet that you want to protect.
  2. To unlock any cells or ranges that you want other users to be able to change, do the following:
    1. Select each cell or range that you want to unlock.
    2. On the Home tab, in the Cells group, click Format, and then click Format Cells.

  1. On the Protection tab, clear the Locked check box, and then click OK.
  1. To hide any formulas that you do not want to be visible, do the following:
    1. In the worksheet, select the cells that contain the formulas that you want to hide.
    2. On the Home tab, in the Cells group, click Format, and then click Format Cells.
  1. On the Protection tab, select the Hidden check box, and then click OK.
  1. To unlock any graphic objects (such as pictures, clip art, shapes, or Smart Art graphics) that you want users to be able to change, do the following:
  1. Hold down CTRL and then click each graphic object that you want to unlock.

This displays the Picture Tools or Drawing Tools, adding the Format tab.

 Tip   You can also use the Go To command to quickly select all the graphic objects in a worksheet. On the Home tab, in the Editing group, click Find & Select, and then click Go To. Click Special, and then click Objects.

  1. On the Format tab, in the Size group, click the Dialog Box Launcher Button image next to Size.
  2. On the Properties tab, clear the Locked check box, and if present, clear the Lock text check box.

 Note   You do not need to unlock buttons or controls for users to be able to click and use them. You can unlock embedded charts, text boxes, and other objects created with the drawing tools that you want users to be able to modify.

  1. On the Review tab, in the Changes group, click Protect Sheet.
