Employees personal data could be changes any time which cover his residential address, permanent address, email or cell number, update in qualification, marital status or children’s data. The best way is to send an email to HR department who then verify the details from employee and update the system. This not a rocket sciences.
I would have the employee fill out a form to updat personal info then sign it. I then would updat the employees info. Send an email to HR Re the update. File the employees form in the locked. Drawer.
Employees personal contact is changable, only we need the contact information form to be duely filled by an emoloyee with signature, it must be approved by HR and Administration.

I would advice him on the same e-mail with an attached application form for showing the changes he desires to update and have a signature on it scan and send it back. Once I receive it, I log in in our records, update the system and then file the same copy to his personal file since it is confidential. Thank you

Changing contact details of an existing employee are important task and shall be taken proper care.
I can't add my contact details in website, when i do its says not valid even though my number is active so kindly help or suggest how do i add?

2. Ask for supporting documents as proof of address change
3. Update contact details in the ERP system
